Main purpose of the position

Currently we are looking for a Lead Document Controller in Cape Town, South Africa to be part of our global team working together towards our vision – Improving our future. As our Lead Document Controller, you will be responsible for the management of all controlled project documents during project structuring and execution phases. Securing that the Document Management on projects and on Governing Documents is handled in accordance with our internal procedures and contract requirements and implemented in an efficient and uniform way.

  

Main responsibilities 

  • Overall responsibility to develop, improve and ensure compliance with Project Document Management Procedures and deliverables.
  • Overall responsibility to ensure sufficient document management of Governing Documents, including follow up of expired documents.
  • Supervise the Document Control Department including the employees, ensure proper staffing and that projects are sufficiently manned.
  • Ensure all projects are in control of documentation and manage change in a robust way and reporting of document status of projects. Overall responsibility to ensure project documentation (TTO Package) is handed over to the Client.
  • Overall responsibility to update training material (including gamified training) and ensure new employees are sufficiently trained in Document Management (both projects and Governing Documents).
  • Responsibility to maintain and update the Document Management system as required – propose solutions and facilitate, interfacing with the IT department and other parts of Scatec for the continuous improvement of processes.
  • Support corporate activities related to ISO Certification.
  • Support Project Control Activities.

Qualifications and competencies

  • Degree or a related field
  • 5+ years Document Control experience, preferably on EPC/Construction projects
  • 2+ years Managing a team
  • Proven experience working with, the life cycle of all documents on a project from start to finish and architectural structure of the DMS flow process
  • Basic understanding of ISO9001 requirements
  • Fluent both written and spoken in English and French advantageous 
  • Ability to do training on document management system, processes and procedure with all stakeholders
  • Demonstrate understanding in document mapping between Procedures and Project needs
