Main purpose of the position
Leads document control delivery for one or more projects, ensuring consistent application of procedures and continuous document availability. Manages main office and site document control resources based on project needs.

Main responsibilities 

  • Lead and coordinate document control activities for assigned project(s)
  • Coordinate project EDMS setup, daily operation, and project hand-over
  • Manage internal documentation (contracts, MDL, Gate Review documentation)
  • Update Gate Review document control inputs and attend GR meetings
  • Ensure adherence to document control procedures and standards
  • Maintain oversight of EDMS, numbering, revision control, and metadata
  • Manage and audit document review, approval, and distribution workflows
  • Act as primary project interface for clients, contractors, and vendors on document control
  • Perform quality checks and resolve document control issues
  • Ensure uninterrupted document control coverage (leave, site connectivity issues, resourcing gaps)
  • Mentor and guide Document Controllers and Site Document Controllers
  • Report document control status, risks, and performance results to project and management teams
  • Coordinate and compile TTO documentation handover to SPV and O&M
  • Reports to Project Information and Document Manager

Qualifications and competencies

  • University Degree (can be replaced with relevant experience)
  • 5+ years Document Control experience, preferably on EPC/Construction projects
  • Proven experience working with, the life cycle of all documents on a project from start to finish and architectural structure of the EDMS flow process
  • Basic understanding of ISO9001 requirements
  • Fluent both written and spoken in English
  • Ability to do training on document management system, processes and procedure with all stakeholders
  • Demonstrate understanding in document mapping between Procedures and Project needs
