Main purpose of position

Currently we are looking for a Project Information and Document Manager, in Bucharest Romania to be part of our global team working together towards our vision – Improving our future.
Project Information and Document Manager leads information management and document control activities across up to three projects, ensuring governance compliance, consistent application of procedures, and uninterrupted document control delivery. Provides strategic oversight beyond project-level execution.


Main Responsibilities

  • Lead and coordinate IM and document control activities across up to three projects
  • Own project EDMS setup, governance, lifecycle management, and project close-out/hand-over
  • Manage internal documentation (contracts, MDL, Gate Review documentation)
  • Own Gate Review document control inputs; update GR presentations and attend GR meetings
  • Ensure adherence to IM and document control procedures, standards, and governance requirements
  • Maintain oversight of EDMS, numbering, metadata, and revision control across projects
  • Audit document review, approval, and distribution workflows
  • Act as escalation point for complex document control or EDMS issues
  • Monitor IT trouble tickets from project DC teams
  • Interface with clients, contractors, and vendors on IM matter
  • Support internal and external audits; ensure traceability and compliance
  • Mentor and guide Lead Document Controllers, Document Controllers, and Site Document Controllers
  • Report IM and document control performance, risks, and performance results to management
  • Oversee TTO documentation handover to SPV and O&M (supported by project teams)
  • Reports to Project Information and Document Manager

 

Qualifications And Competencies

  • Education: University Degree (can be replaced with relevant experience)
  • Experience: 7+ years Document Control experience, preferably on EPC/Construction projects incorporating EDMS
  • Language: fluent both written and spoken in English. Other language skills like Spanish, German, French are an advantage
    Good understanding of Engineering / Procurement / Construction process
  • Excellent MS Suite software knowledge
  • Experience with e-Document management systems (EDMS)
  • Good working Knowledge of SharePoint
  • Good working knowledge of Adobe Acrobat
  • Knowledge of ISO9001
